EIFFAGE is the 7th European construction and concessions group, with 56,000 staff, more than 80% of whom are shareholders. The Group's construction and property activities are managed by the Eiffage Construction division, which has 14,400 personnel. One of the objectives of the Ile de France site at Vitry-sur-Seine, led by Frédéric Adam, Site Manager, is the construction of two apartment blocks commissioned by LogiTransport.
Many people are involved in working on one site, with each person needing to access information relating to construction of the building(s) at some point in time. To save time and to improve processes between the various partners on site, Eiffage Construction is seeking support by means of a sharing platform to enable centralisation of information whilst maintaining control and security over access and distribution. As a result, Eiffage Construction Val-de-Seine has selected Oodrive and its iExtranet BTP solution for this site, to implement an extranet for document sharing and collaborative working.
"Oodrive's iExtranet solution will give us optimum control of our information. For example, it will be possible to provide the architect, the client and Eiffage Construction with an architect's report, without permitting any access to subcontractors. The administrator will have the option to decide who may or may not have access to a certain document. This will enable them to limit access to information and, more importantly, to ensure it remains secure." states Frédéric Adam.
The iExtranet BTP solution is an online file exchange solution dedicated to professionals in the construction and building industry. It enables a project supervisor to manage a construction project efficiently and to easily exchange images, plans or reports, whatever the size or format, with everyone involved in the project (builders, architects, project managers, design consultants, estate agents, estate managers, etc.).
"I recognised the benefits of Oodrive and the new functionality offered by its iExtranet solution: customisation in line with the company's individual corporate branding, technical files, document scanning, plans that can be viewed directly in AutoCAD format, distance measurement, the possibility to incorporate comments directly in documents, full traceability on emails sent as well as on shared documents, and even e-mail alerts," commented Frédéric Adam.
The ease of use of the iExtranet BTP platform is one of the key factors of the solution's success. Its user-friendliness and intuitive functionality have promoted its acceptance by users, even those who are novices when it comes to computers. As regards the various people involved in a building project, their heterogeneous profile and time constraints within the industry, the solution is adapted for swift implementation, with no need for prior training.
Working methods and site-specific environments have very specific requirements when it comes to collaborative working and file sharing:
Frédéric Adam considers that Oodrive's iExtranet BTP solution can cope with these limitations. "There is no need to forward all documents to the head office for my colleagues there to upload onto the website. Anyone can upload their own report. As soon as a file is uploaded with the same name as an existing file, a new index is created, maintaining access to the previous version, with previous versions of the file being archived. An e-mail alert is sent to the people involved so that everyone is always working on the latest version of the document. And as soon as the document is deemed to be validated, the administrator can apply certain restrictions, to ensure no further changes are added. At the end of the project, all completed documents can be downloaded to ensure the provision of full computerised reporting on project progress for the site." Furthermore, these various technical benefits ensure any risk of error is reduced.
"As well as the fact that this platform avoids and reduces the risk of technical errors, it is also reassuring to see our documents encrypted and stored on an external server. Even if we are victims of an on-site robbery, no data will be found on our computers," adds Frédéric Adam.
The iExtranet BTP solution issued by Oodrive enables Eiffage Construction to consult, download, annotate or amend documents relating to on-site project progress, according to one's authorisation levels. "Compared with other solutions for storing and sharing site project plans and documents, the Oodrive solution seems to offer the best value for money for a wide range of useful functionality," concludes Frédéric Adam.
