As part of the regulatory management of international marketing, the Oenobiol company uses Oodrive's iExtranet solution for sharing and managing large documents with its external partners.
The search for the best and most secure solution for sharing information on an international basis
Oenobiol has been manufacturing beauty food supplements since it was established in 1985 by Dr Marie Béjot. The company has been developing its export business for a number of years, selling its products abroad, both within and beyond Europe.
This is how the requirement arose for a secure tool with unlimited storage space for exchanging files on an international basis. "To begin with, we had an FTP server for sending documents to our external contacts, but access was not very secure and such insecurity could therefore have jeopardised the entire Oenobiol business, for example, when it came to stating product ingredients", explains Stéphanie Molveaux, Head of International Regulatory Affairs at Oenobiol.
"We have an e-mail solution that is limited to 2 MB for sending and receiving attachments. We therefore needed a new tool to enable us to send documents that can, at times, be very large, as well as to share a number of documents by means of a single transmission", adds Floriane Huret, Head of International Export Marketing at Oenobiol.
Oenobiol was therefore looking for a secure solution that would enable them to share information, that was sometimes confidential, on an international basis, but without making them permanently available, only allowing external partners to consult the information, say 10 or 20 times.
iExtranet was an effective solution to satisfy Oenobiol's international requirements
Stéphanie Molveaux discovered iExtranet, the file sharing and online collaboration solution published by the Oodrive Group, as a result of a personalised sales demonstration.
"Our server was not secure enough and was not particularly user-friendly. However, the product Oodrive presented to us had a really good user-friendly interface, was easy to use and could be customised in line with Oenobiol's individual organisational chart. As a beauty brand, it was therefore much more appealing to us to have an extranet that looks good, as well as one that is effective, secure and personalised to suit our image. That is why we chose Oodrive's iExtranet solution", comments Stéphanie Molveaux.
With similar requirements regarding the secure exchange of large files, Oenibiol now uses iExtranet in many of its departments, particularly in International Regulatory Affairs, but also in National and International Marketing.
"iExtranet enables us to share a large number of documents and images in one single transmission, which saves us a lot of time. The solution also enables us to control the period of access to information and we can also check whether documents have been downloaded by recipients. Thus we have a really effective monitoring tool that avoids delays in projects we are running", stresses Floriane Huret.
"For Regulatory Affairs, we very often need to send complete folders, which are subsequently submitted to the authorities in those countries we are working with. However much information these authorities need, the iExtranet solution enables us to send all the information requested, all at once and with complete confidentiality being maintained. We simply place the complete folder on our iExtranet platform and send a notification to the recipient, requesting them to download it. This saves us a lot of time and is much more efficient, as it avoids the usual administrative detours", concludes Stéphanie Molveaux.
